HOUSE RULES
RESPONSIBILITY & ID REQUIREMENT
The person who booked and paid for the reservation is the primary guest, “Guest,” and MUST be staying during the entire reservation.
The primary registered Guest MUST be a minimum of 21 years of age to book the reservation and meet the verification requirements.
They are LEGALLY AND FINANCIALLY RESPONSIBLE for damages made by themselves or their guest(s) that may occur, whether accidental or intentional.
A separate e-Signed Rental Agreement is required to finalize the reservation and grant access to the home.
A government-issued Photo-ID for the primary Guest is required. Identity verification must be on file with the booking platform (Airbnb only). For all other reservations, a photocopy must be uploaded to at booking. Failure to complete the Rental Agreement and provide a Photo ID within 72 hours may result in termination of the reservation, subject to any applicable cancellation fees.
NO THIRD-PARTY RESERVATIONS & NO LOCAL GUESTS
The person booking the reservation must be the primary guest present for the duration of the stay. Booking a reservation for a third-party guest is a violation of the House Rules as well as the rules and policies of Airbnb, VRBO, Home Away, etc., and is strictly prohibited. If you think you have a special circumstance you’d like us to consider, send us an inquiry prior to booking, or your reservation may be canceled.
ADDITIONAL GUESTS & OCCUPANCY LIMIT
The maximum occupancy at any time during the reservation is limited to the total number of guests provided on your reservation and should never, in any event, exceed 4 people. Should the number of guests arriving exceed the number of guests on the reservation, the reservation may be terminated immediately without a refund. If your number of guests has changed since making the reservation, the guest count must be updated with us. Airbnb Bookings: new guests may be “invited” to join the reservation through Airbnb, which will allow them to view the listing, details, pictures, and rules, as well as populate their full names(s) on the reservation.
CANCELLATIONS / SHORTENING RENTALS / NO-SHOWS
Cancellations adhere to the policy stated at booking. No refunds for shortening your stay. Please let us know as soon as possible if your plans change so we can work to re-book the dates. The effective cancellation policy for your booking will be showing on the booking and rental agreement: {BCANPOL}
TRAVEL INSURANCE
We are not responsible for travel delays, flight or event cancellations, other trip interruptions, unexpected injury, illness, or loss. We cannot adjust rates or arrival/departure times due to issues that may arise. Travel insurance is strongly recommended and widely available via a simple web search. Additionally, links for a few trip protection policies are included for convenience when completing our electronic rental agreement. We are in no way affiliated with insurance providers. You must reach out to your policy provider directly prior to canceling and refer to any communications with the insurer for any policy details or information. We have chosen cancellation policies we feel are fair, in addition to providing additional information to protect your trip with travel insurance further – our policies are firm.
NOT A PARTY HOUSE
While we understand that you may be in town celebrating a special occasion, and we want you to enjoy your time and make great memories, please keep in mind that we hold our properties to high standards and ask that you respect our home, the contents therein, and our neighbors.
UNDER NO CIRCUMSTANCES CAN A GUEST HOLD A PARTY AND INVITE UNAUTHORIZED ATTENDEES. DOING SO WILL RESULT IN IMMEDIATE TERMINATION OF THIS RESERVATION WITHOUT REFUND AS WELL AS FEES FOR ANY AND ALL DAMAGE OR COSTS TO THE OWNER FOR HAVING TO ENFORCE THIS RULE (MINIMUM FINE: $500 UP TO THE TOTAL COST TO THE OWNER).
NO SIGNAGE / ADHESIVE / NO GLITTER / NO CONFETTI
The use of interior decorations, including signs, posters, banners, etc., is not allowed if it requires taping, pinning, gluing, stapling, or adhesive of any kind. Use of exterior signs is strictly prohibited. DO NOT TAPE/PIN/GLUE/STAPLE/OR USE ADHESIVE ON OUR WALLS; IT WILL DAMAGE THE PAINT & WALLS OF THIS HOME. PURCHASE SPECIFICALLY “WALL-SAFE” DECOR FOR USE AT YOUR OWN RISK OF INCURRING DAMAGE FEES SHOULD ANY DAMAGE OCCUR OR INQUIRE ABOUT SENDING ITEMS TO US, AND WE WILL TAKE CARE OF DECORATING WITH THEM FOR YOU, SUBJECT TO AVAILABILITY WITH ADVANCE NOTICE AND ADDITIONAL FEE DETERMINED BY REQUEST. A minimum fine of $200 up to the total cost to the owner will be applied for any damages due to tape/adhesives or excessive cleaning due to the use of glitter/confetti.
CHECK-IN / CHECK-OUT POLICY
Check-in is after 3:00 PM CST. Check-out is any time before 11:00 AM CST.
Please note: we are a small business with a limited crew caring for multiple rentals. Our properties stay booked, and our staff has a tight schedule in between. In fairness to our personnel and guests at all of our properties, we are generally unable to accommodate early check-in or late check-out requests. Several great local services are available to assist with your bags and transportation needs, leaving you free to explore.
In the event the guest(s) fail(s) to depart at the agreed-upon time, obstructing the home from being cleaned and prepared for the next arriving guest(s), the departing primary guest agrees to pay damages and costs associated with the delay in addition to discretionary late check-out fees assessed of $50/each half-hour.
PARKING
Free street parking is available all around the home on a first-come, first-serve basis. While we have never had an issue with parking, we do ask that you limit your parking in an effort to provide ample parking for our neighbors and their guests as well. We are not responsible for any vehicle(s) parked, nor for any vehicle parked in an unauthorized location being towed or booted. Please plan and park responsibly, exercise common safety measures when parking anywhere in the city, and do not leave vehicles unlocked or valuables lying out insight.
Taxis, Uber, Lyft, EarthRides, and MetroLivery are always available and oftentimes end up being cheaper than renting a car and driving due to the high parking fees downtown and in other areas. We suggest you consider this when making your transportation decision. Additionally, nearby bike and scooter rentals offer another convenient way to get around, but please use caution when operating and obey traffic laws.
NO PETS
Due to the Owners’ severe allergies, pets are not allowed. This includes pets and ESA’s of any kind whatsoever. A minimum $250 per animal fine will be charged for undisclosed pets and additional HEPA cleaning costs. In addition, the reservation may be terminated immediately without a refund.
QUIET TIMES
We are located in a residential community, and although Nashville is a great vacation destination, it’s home to many people. We ask that you respect their privacy and right to a peaceful existence!
Nashville Quiet Hours are from 12 AM (Midnight) to 8 AM, so noise should be kept to a minimum during this time. In addition to Quiet Hours, there are strict rules against loudspeakers/music used in short-term rental homes. Please keep this in mind during your stay.
EXTERIOR SECURITY CAMERAS / ALARM SYSTEMS / ALERT DEVICES
EXTERIOR Security cameras are in use at all times to ensure compliance with our House Rules and for the protection of our property and most importantly, our Guests.
There are NO INTERIOR cameras, nor any cameras facing the interior of the home.
Tampering with or disturbing our security cameras is strictly prohibited and will result in the immediate termination of the reservation without a refund as a security breach violation of our House Rules.
Security Cameras are Located on exterior entrances to monitor activity in these areas and in front of and behind the home.
NO SMOKING, NO DRUG USE, NO UNDERAGE DRINKING, NO ILLEGAL ACTIVITY
This is a smoke-free home. No smoking of any substance, including cigarettes, e-cigarettes, cigars, vapes, joints, and/or any other smoke inhalation device inside the home. Drug use of any kind and/or the consumption of alcohol by underage guests WILL RESULT in the immediate termination of the reservation without refund and automatic forfeiture of any security deposit.
NO MOVING OF FURNITURE/ACCESSORIES
Rearranging or moving around furniture and/or accessories or decor is strictly prohibited. Moving these items can cause damage to the home, the item, or to you personally and is therefore not allowed. Housekeeping does mandatory damage and inventory checks after each visit, including time-stamped photos; so, for the sake of ease, we ask that all furniture and decor remain in the same place as it was when you arrived.
NO COMMERCIAL ACTIVITY
No commercial activity is allowed inside or outside of the home, including photography/photoshoots of any kind. You must request and receive special written approval for any such usage, and additional fees and agreements may be required.
NO SPRAY TAN / NO HAIR OR SKIN PRODUCTS CONTAINING COLOR, PEROXIDE, OR BLEACH
Spray tanning equipment, aerosol tanning, or other tanning products are not allowed. Do not use hair/skincare with color, peroxide, or bleach. Stains or damages due to tanning/hair/skincare products will be billed at the total cost of the repair, replacement, or excessive cleaning charge incurred by the Owner.
REPORT STAINED OR DAMAGED LINEN
Please help by doing your part to prevent damage to our linens. Use the dark makeup towels or facial wipes provided when removing makeup or harsh chemical cleansers, etc., that may bleach or harm our towels. We know everyone wants to look their best on vacation, and minor stains, spills, or will accidents happen. If an item is accidentally stained, we ask that you treat it with the provided Folex laundry & carpet spray, set it aside, and notify us so that we may have housekeeping attempt to address it. This will help reduce environmental impact and unnecessary expenses for either of us. Excessively stained linens will be charged a $25 laundry fee and any repair or replacement costs. Excessively stained linens (e.g., most items are stained beyond repair, requiring replacement) will require a minimum fee of $25 per item up to the complete cost of replacement for bedding, towels, duvet inserts, decorative throws, pillows, pads, drapes, robes, and all other fabric items.
CLEANING / EXCESSIVE CLEANING
A cleaning fee will be required for all reservations. Cleaning fees are mandatory and non-negotiable. The cleaning fee includes laundry service for the towels and linens, standard cleaning, and sanitization to prepare the home for the next Guest. Guest is required to leave the property in the same general condition that it was received in by making sure that the dishes are rinsed and put in the dishwasher, trash and opened/perishable foods or drinks are removed, bagged securely in a trash bag, and placed in the outdoor bin located off the back deck or in the rear alley (tan bin = trash, collected weekly on Monday; green bin = recycling (no glass or trash bags accepted, collected monthly on the 2nd Monday). Paper towels, disinfectant wipes, and Folex stain & carpet spray are provided for Guest use, in addition to trash bags, a broom, and a vacuum.
A minimum excessive cleaning charge of $100 will apply if the Guest does not practice basic cleaning habits: cleaning up accidental spills that can cause permanent stains to the interior or exterior floors, carpets, rugs, furniture, linens, towels, robes, walls, and ceilings; removal of overflowing trash and opened/perishable foods; unsanitary conditions; use of glitter, confetti, or excessive party decorations requiring additional cleaning time and expense to Owner or cleaners. In the event of permanent damage either from food or wine spills, vomit, bodily fluids, bleach, markers, excessive dirt, or any other permanently staining materials will be fined $25/item or the total cost to replace/repair the damage at the item’s current market value plus any labor, install, shipping, or delivery expenses, whichever is more.
We ask that common sense be used to minimize the potential of an excessive cleaning fee.
ENERGY CONSERVANCY
We try to do our part to minimize waste and conserve energy between rentals. Thus, we ask that guests ensure all doors and windows are closed and locked securely before leaving the Rental Property at any time. Additionally, the thermostat may be turned down/up in between arrivals. Guest agrees never to adjust settings on refrigerators or freezers nor to attempt to “quick cool room-temperature beverages”. If you feel there may be an issue with an appliance, contact the Owner/Representative, and we will devise an acceptable solution, inspection, and/or repair. Guests may also request setup and use of large coolers free of charge. We will fill/supply bagged ice for coolers at an additional charge.
OWNER RIGHTS
Owner/Representative has the right to enter the Rental Property for repairs, maintenance, inspections, or emergencies. While every reasonable attempt will be made to contact the Guest, entrance to the Rental Property may be necessary in the Guest’s absence, although highly unlikely. Adult guests cannot refuse to let an authorized contractor or technician in to do their job. For safety, you can call the Owner/Representative to verify before allowing him/her to enter. In the unlikely event access is required during the reservation dates, the Owner/Representative will provide the name, phone number, and time expectancy of the representative to the Guest with at least 30 minutes advance notice.
DAMAGES AND BREAKDOWNS
We make every effort to ensure the Rental Property is cleaned and inspected before your arrival. However, we encourage you to perform a quick inspection upon arrival and immediately report any damage or problems to us; otherwise, you may be held responsible for these damages. Please promptly notify us of any mechanical, electrical, plumbing, or other problem with the premises. We will make every effort to correct any problems as soon as possible. In the event that a mechanical failure does occur during your stay, we will call a service to repair, based on the emergency. You are renting from an Owner, and we will call our personal authorized warranty/service contractors. Guest must not request or schedule any contractors or technicians directly nor attempt to repair or replace damages and breakdowns.
Please be advised that the Rental Property you are renting contains certain amenities which may, from time to time, not be fully functional, operational, or maybe under repair such that the use of these amenities may be unavailable or limited during your stay. In this context, while we recognize and regret any resulting inconvenience to our Guest, the Owner of the rental will not be responsible for any such events of outage or unavailability and shall have no responsibility or obligation to grant any discount or refund of any of the rental fee as a result of any such reasonable circumstances.
ELECTRIC FIREPLACE
DO NOT let bare skin touch hot surfaces, including the trim around the heater.
DO NOT PLACE combustible items such as furniture, pillows, bedding, papers, clothes, and curtains within 3 feet (0.9m) from the front, sides, and/or rear of the unit.
Always unplug the heater when not in use.
Use extreme caution if children or individual with disabilities is present if the unit is operating.
Do not operate the unit if the cord or plug has become damaged, if the heater has malfunctioned, or if the heater has been dropped or damaged in any way.
To disconnect, turn the fireplace off, AND THEN UNPLUG the outlet.
Do not insert or allow foreign objects to enter any ventilation or exhaust opening, as this may cause an electric shock, fire, or damage to the unit.
Do not block air intake or exhaust in any manner.
Do not use near any flammable vapors, including but not limited to gasoline, paint, or flammable liquid.
Do not burn wood or other unapproved materials in the electric heater.
Do not strike the glass panel. DO NOT USE IT IF THE GLASS PANEL IS DAMAGED IN ANY WAY.
Do not clean with abrasive cleaners.
GRILL AND FIREPIT SAFETY
Use of the grill or firepit are at your own risk. You are fully responsible for the safe use of these items as well as the complete repair and replacement cost of any damages occurring from negligent or improper use. You are responsible for providing your own charcoal for the grill and firewood for the fire-pit, as well as cleaning following proper use: allow to cool completely, then use the small garden shovel under the grill on the shelf to remove spent ash from the grill or fire-pit into a trash bag, securely close and dispose of the bag in the outdoor trash can.
FIRE ALARMS
Guest agrees to never tamper with, unplug, move or otherwise interfere with Rental Property’s integrated smoke alarms. Guest accepts responsibility for the safe operation of all appliances and agrees to liability for the full amount of any damages incurred due to negligence, unsafe, improper, or unintended use occurring during their stay.
INTERNET
We have secure wireless internet in the rental for your use. However, due to various environmental and technical conditions (signal strength, computer WiFi reception, configurations, etc.), we cannot guarantee this connection will be reliable at all times.
RATE CHANGES
Rates are dynamic and change automatically based on area demand, availability, seasons, and events. Rates are subject to change unless a booking is confirmed. Our rates are competitive, and we do not offer additional discounts, except for stays of 7 days or longer.
NO PERSONAL DELIVERIES / NO PERMANENT RESIDENCE
Shipments or mail (FedEx, UPS, USPS, Courier, etc.) of any kind is prohibited. If you must receive a package during your stay, have it shipped to the nearest FedEx, UPS, or USPS location for pickup. We are not responsible for any packages you attempt to have delivered. Guest agrees that use of the Rental Property is on a temporary and transient basis only; Guest may not use the Property as a permanent residence and certifies that their permanent residence is and will remain elsewhere than at the Rental Property.
RESTRICTIONS
No services may be charged to the rental. No transferring your rental time to another person(s) or registering under a false name/false age, or exceeding the maximum occupancy at any time. Violation of any rules results in additional fees as outlined, forfeits the deposit and any rent paid, and results in an agreement to vacate the Rental Property at the Owner’s discretion.
NO FIREARMS ARE ALLOWED IN THE RENTAL SPACE AND PREMISE
(store in a lockbox out of sight in your locked vehicle if you must): A valid concealed carry permit does NOT authorize you to carry a concealed weapon in our private Rental Property. Pursuant to Davidson County Code, no person shall possess, have control of, convey, or attempt to convey a deadly weapon or dangerous ordinance onto these premises.
RIGHT TO REFUSE AND REMOVE OF GUESTS
If the Guest fails to check out on time, causes damage(s) to the home, engages in a prohibited use of the home, or if the Guest fails to vacate upon written or oral request, guest(s) may be summarily removed with the assistance of Tennessee Law Enforcement in compliance with local laws and according to Tennessee statutes. Rentals are offered as temporary hotel use only.
INOCCUPANCY DUE TO PROPERTY DAMAGE
All reservations are made in good faith with the full intention of the Guest dates being available as expected. However, should the Rental Property be damaged by an unforeseen storm/hazard/circumstance and not be available to be occupied prior to the start of the agreed-upon rental, both the Guest and Owner/Representative agree that any rent or deposit paid will be fully refunded, and the Guest will hold no other liability against the Owner/Representative. In these instances, as a courtesy, Guests will be notified as far in advance as possible.
GUEST LIABILITY
Guest agrees to accept sole responsibility and total repayment liability for any theft or damages caused to the Rental Property and/or its contents (other than normal wear and tear) by them, their rental party, pets, or other persons on the premises or in the Rental Property during the reservation period, including but not limited to: doors, windows, walls, flooring, fixtures, electronics, security systems, cameras and monitors, audiovisual equipment, beds, artwork, furniture, mattresses, carpet stains, misuse of appliances, furnishings, and linens. Guest accepts full and exclusive use of the Rental Property for the agreed-upon times providing all terms of the contract are fulfilled, and hereby agrees to abide by the terms of the Rental Agreement. By completing a reservation online, the Guest acknowledges they have read, fully understand, and agree to all terms and rules of this Rental Agreement.
Guest understands that by submitting the reservation rent entities, Guest automatically agrees to the terms and conditions of this Rental Agreement. Guest authorizes and agrees to pay all amounts due to the Owner/Music City Magnolia LLC and/or their Agents. Guest certifies: “I am an authorized user of this credit or debit card, and I will not dispute the payment with my bank or credit card provider, so long as the transaction corresponds to the terms indicated in this agreement. By signing this Rental Agreement, I am responsible for paying for any loss or damages as per the Rental Agreement.”.
Guest agrees that the Owner and our agents are not liable for any damages or injury to you, your family, and/or your guests or to any of your or their respective personal property from whatever cause arising from your occupancy of the premises. You specifically agree to hold us, and/or our agents, harmless and indemnify us from any such damages and/or injuries, including court costs and attorney’s fees. Your reservation acceptance confirms you will abide by all terms and conditions of the Rental Agreement.
ERRORS AND OMISSIONS
All information is deemed reliable but not guaranteed. We are not responsible for errors or omissions. All information provided on any online travel site (HomeAway, VRBO, Airbnb, Expedia, or similar) was posted to the U.S. English version of the website, and Owner is NOT responsible for any translation errors or omissions caused by incorrectly translating from this original version. Guest agrees this policy supersedes any online travel site’s policy.
CHECKOUT PROCEDURE
-Please do NOT strip the beds. Housekeeping will take care of it to ensure any stains may be properly addressed and pretreated, and sheet sets can be kept together by size.
-Used towels can be left in the tub/shower. If anything was inadvertently stained, please set it aside to be handled separately prior to washing—it would be greatly appreciated.
-Please load and run any used dishes in the dishwasher.
-Please discard trash and perishable items in the outdoor bins:
TAN = trash; please bag and tie securely to keep away from unwanted wildlife and other pests.
GREEN = recycling; no glass or trash bags in the bin, please (only paper, clean plastic bottles & containers, and aluminum are collected by the city.)
-Please close and securely lock all windows and doors.
-If you would like to take the time to shoot us a text to let housekeeping know you’ve departed and which property, it’s helpful and appreciated.
